What your concierge desk can hand over
Hotel guests' requests are much the same from one season to the next: a run to the airport before the first train, a late arrival at Brussels-Midi after a delayed Eurostar, a day in Bruges or Ghent, a car with a chauffeur for a string of business meetings. All of them can be entrusted to the same provider, which saves reception from juggling taxi firms, car hire companies and tour operators.
For a day trip, let the guest know that the chauffeur is not a guide: they drive, wait and advise on how to organise the day, but do not provide commentary on the sights. A guided tour is booked separately. A tour with several stops and a set return time requires a quote; a simple ride to Bruges or Waterloo is booked like any other transfer, at a fixed price known in advance.

Booking on behalf of a guest
For a one-off ride, the online form is all you need: route, choice of vehicle, then contact details. The price appears before you submit the request, so you can tell the guest while they are still at the desk. Requests are accepted as long as departure is more than three hours away; no payment is taken on the website, and the team sends its confirmation by email, which reception can forward to the guest.
The comments field is for anything the chauffeur needs to know: the guest's name if it differs from that of the person booking, room number, the time the luggage will be ready, language spoken. For an arrival by air, the flight number lets us track the landing and move the pick-up if the plane is late. The chauffeur then meets the guest as they come out of baggage reclaim, holding a name sign, and drives them to your door.
An urgent request? WhatsApp
When a request comes in less than three hours before departure, or a guest cannot decide between two times, a WhatsApp message lets you check availability without going through the form. Give the pick-up address, destination, time, and number of passengers and bags: the team replies according to the chauffeurs available at that moment. For the most pressing situations, you can still phone.
The same flexibility applies to changes: a cancelled flight, a guest extending their stay by a night, a day trip postponed because of rain. Reception lets us know through the same channel, and the ride is changed or cancelled in accordance with the terms and conditions. Keeping a single conversation thread per guest avoids misunderstandings between the morning team and the night shift.
A welcome that reflects your hotel
For your guest, the chauffeur is an extension of the hotel's welcome. They arrive early, report to reception or wait at the entrance as you instruct, load the luggage and speak several languages. The vehicle matches the guest: a Business sedan for a business traveller, a Van for a family and their six suitcases, the fully electric Green class, or a Prestige sedan, on quotation, for guests staying in your suites.

Can reception book in a guest's name?+
Yes. Enter the guest's name in the contact details or in the comments field, with the hotel's address as the pick-up point. The confirmation is sent by email to the address given: reception's, if you want to stay in control, or the guest's, if they are managing the journey themselves. For an airport arrival, add the flight number so that the chauffeur can track the landing.
A guest needs a car in an hour: is that possible?+
Online booking closes three hours before pick-up. Within that window, contact the team by WhatsApp or phone: they will check whether a chauffeur can be freed up. The answer depends on the time and how busy things are, and nothing is guaranteed until it has been confirmed. For very early departures, the safest option is still to send the request the evening before.
Who pays for the ride: the guest or the hotel?+
For a one-off ride booked online, nothing is paid at the time of the request: the team tells you how payment works when it confirms the booking. If the hotel wishes to cover its guests' rides, or to arrange payment differently for a regular volume, this can be discussed as part of a partnership, with terms agreed together on quotation.
Can you take hotel guests to Bruges for the day?+
Yes, as a day trip with a chauffeur: departure from the hotel in the morning, the drive along the E40, free time there, and the return at a time your guests choose. The chauffeur is not a guide; if your guests would like a guided tour, a guide is booked separately. The programme, duration and vehicle are set on quotation. Ghent, Antwerp or Waterloo are arranged in the same way.
