Roadshows and seminars: chauffeurs and shuttles
Two quite different sets of logistics: the roadshow, where a chauffeur follows your team from meeting to meeting and city to city; and the seminar, where participants arrive from all over and leave again in the evening.
Roadshow: one day, several cities
An investor roadshow or a sales tour runs to the minute. A meeting on Boulevard du Roi Albert II at 09:00, another on Avenue Louise at 11:00, lunch in Antwerp, a final appointment late in the afternoon: between these addresses there is no room for a taxi queue or a hunt for parking. The chauffeur at your disposal stays with the team all day, waits outside each building and already knows the next address.
The distances suit this pace. In free-flowing traffic, the E19 reaches Antwerp in under an hour, and the E411 reaches Luxembourg City in about 2 hours 15 minutes. These journeys become preparation time: going over the presentation, a call with the bank handling the deal, a debrief of the previous meeting. At the end of the day, the team is dropped off at Luxembourg Airport (Findel), at Zaventem or at Brussels-Midi for the Eurostar.

Planning the tour
To plan the day, we start from the list of meetings, with addresses and times, the number of participants and their luggage: a team flying out that evening has its suitcases with it from the morning. A Business sedan suits three people and two suitcases; the Van Business takes six people and five suitcases, and its lounge layout lets you prepare the next meeting face to face.
An appointment added the day before, a meeting that overruns, an investor who suggests meeting at home rather than at the office: the programme keeps changing until the last minute. The chauffeur adapts as long as the day stays within the hours booked; beyond that, any adjustment is settled with your contact. Seminars: arrivals spread across the day
Participants in an international seminar rarely arrive together: a flight from Lisbon landing at Zaventem mid-morning, another at Charleroi around midday, three colleagues from London on the Eurostar into Brussels-Midi. We group pick-ups by time slot, tracking each flight in real time, and everyone finds their name on a sign in the arrivals hall. Speakers and VIP guests can travel separately, by sedan.
The seminar is often held outside the city: on the shores of Lake Genval or on the edge of the Sonian Forest at La Hulpe, a good half-hour from central Brussels in free-flowing traffic. If participants are staying in Brussels, shuttles run each morning from the hotels to the venue, then bring them back at the end of the day. A Van carries up to seven people; several vehicles leave together when the group is larger.
Dinner, then the journeys home
The evening often takes place elsewhere: a restaurant in the centre, a reception venue, a château in Walloon Brabant. The chauffeur waits during dinner, then the journeys home are organised in several waves: those flying out early the next day leave first, and the others follow at the agreed time. Nobody has to look for a taxi at midnight in a town they do not know, and nobody gets behind the wheel after dinner.
On the last day, departures are grouped by airport and flight time, allowing for check-in. To move a whole group in one go, a coach remains the simplest option; our vehicles cover what a coach does badly: scattered arrivals, speakers, early departures and late returns. Seminars and roadshows
Does the chauffeur wait during each roadshow meeting?+
Yes, that is the principle of a chauffeur by the hour: the vehicle stays with you for the entire time booked. During a meeting, the chauffeur parks nearby, or drives around if stopping is not allowed, then returns to the building at the agreed time. A message is all it takes to say that a meeting is finishing early. Your documents and luggage stay on board between meetings.
Can we start the day in Brussels and finish it at Luxembourg Airport?+
Yes. Luxembourg City is about 215 kilometres from Brussels via the E411, or 2 hours 15 minutes' drive in free-flowing traffic, and Findel Airport lies east of the city, just beyond the Kirchberg. A morning of meetings in Brussels, an afternoon on the Kirchberg and an evening flight home therefore fit into a single day. The journey and the hours on site are priced together in the quote.
How do you handle participants arriving at different times?+
Everything starts from the list of arrivals: flight or train numbers, scheduled times, amount of luggage. Pick-ups are combined when two arrivals are close together and kept separate otherwise, so that no participant waits long. Every flight is tracked: a delay pushes back the pick-up without you having to call. The pick-up plan is agreed with you before the event.
Our participants are staying in Brussels and the seminar is in La Hulpe: how do the shuttles work?+
Each morning, one or more vehicles leave the hotels at a time agreed with you, allowing for traffic towards south-east Brussels, which is often heavy at rush hour. In the evening, the return journeys follow the end of the sessions or dinner. A Van takes up to seven participants; beyond that, several vehicles are coordinated, subject to the availability confirmed in the quote.
